Exhibition Stand Builder in Dubai & the UAE

img_vector

The UAE exhibition calendar is changing. Dubai World Trade Centre (DWTC) still hosts a heavy schedule, but several major shows are moving to the Dubai Exhibition Centre at Expo City. For example, GITEX Global moves there for its 7 to 11 December 2026 edition. In Abu Dhabi, the Abu Dhabi National Exhibition Centre (ADNEC) hosts some of the region's biggest energy and defence events. Each venue has its own heights, rigging rules and contractor requirements, and a stand that works has to be planned around them from the start.

Serving brands across Europe

Exhibition stand design and build in Dubai and Abu Dhabi

Whether you’re a  European company making a first appearance at Gulfood, or you are regular exhibitor moving to a bigger space at Expo City, the project follows the same path:

  1. Confirm the venue, hall and organiser rules.
  2. Design around what the stand needs to achieve.
  3. Plan production and installation around the build-up window.

Our service portfolio includes:

  • Custom exhibition stands. Designed around your plot, your products and the conversations you need to hold, from a 20 sqm stand to a large open-sided stand built for demonstrations.

  • Modular exhibition stands. Built for companies that exhibit several times a year across the Gulf and Europe. One system is reconfigured for each plot and refreshed with new graphics.

  • Double-decker stands. Planned from the first concept around the hall height, the organiser’s rules and the approval process for structures above standard height.

  • Last-minute builds. For shows where the decision came late or a supplier fell through.

  • Design from an in-house studio. Ten designers develop several concepts against your brand guidelines and floor plan, rather than presenting one option and defending it.

  • Dedicated project management. One named project manager covers concept development, design iterations, production planning, installation scheduling and on-site build support.

  • Production through long-standing partner suppliers. Your project manager coordinates and checks their work throughout.

  • Structural specifications for multi-level stands. They cover materials, dimensions, and load, giving your venue submission a solid technical reference.

  • Working hours that overlap. The UAE is two to three hours ahead of Central Europe, so design reviews can happen live rather than over email overnight.

Exhibition stand design in Dubai rewards early decisions on venue, height and levels. Our job is to get those decisions made while there is still time to act on them.

What to arrange before your UAE exhibition

Most of what makes a UAE show run smoothly is settled before design begins. These are the points worth confirming first.

Points to confirm first:

  • Check which venue your show is in this year. Four shows are moving from DWTC to Expo City Dubai: GISEC Global, GITEX Global, INDEX with The Hotel Show, and WHX Dubai (formerly Arab Health). Gulfood 2027 runs from 15 to 19 March across both DWTC and the Dubai Exhibition Centre. A stand approved at one venue is not automatically compliant at the other, because hall heights, rigging points and contractor registration differ.

  • Height limits depend on the show, the hall and your position in it. In Dubai, height restrictions vary by organiser, venue, hall and stand location. Double-deckers and structures above the standard height generally need structural engineering drawings and venue approval. Confirm the figure for your hall before design starts.

  • Contractors must be registered. At the Dubai Exhibition Centre, external contractors building custom stands must register on Contractor Plus, the venue’s digital portal for contractor and vehicle access. Ask any stand builder, including us, who the registered contractor on your stand will be.

  • Some services come from the venue. At DWTC, primary rigging is handled by DXB Live, the venue’s in-house agency, not by your stand contractor. Budget and schedule those orders separately from the stand build.

  • The calendar has shifted. Arabian Travel Market has moved permanently from May to September, and the Dubai International Boat Show from April to November. Plan from the current dates, not last year’s.

What you get when you work with Design Desk

A UAE show is a significant investment, and most of the risk sits in coordination rather than design. These are the things that reduce it.

What distinguishes our service:

  • One project manager from brief to dismantling. Trade fair projects rarely fail through poor design. They fail at handovers, when the person who understood your requirements is not the person dealing with the build.

  • Several concepts, not one. With 10 designers in the studio, you see distinct options and get iterations without extra charges.

  • Venue questions asked at the first call. Which hall you are in, the height limit there, and whether the venue has changed since your last appearance are the first things we ask.

  • Structural thinking from day one. For double-deckers and tall structures, structural specifications are prepared once the concept is approved, so the design that goes forward for approval is one that can be built.

  • Design built around conversations. Many UAE shows are deal-making events, so layouts start with seating, meeting space and visitor flow.

  • On-site build support. Problems during build-up need a decision within the hour. Build support is provided on site during installation.

  • A calendar that runs from Dubai to Europe. With more than 2,500 projects across more than 30 countries, a UAE show can be one stop in a wider programme.

    PROJECT SHOWCASE

    circle image dd

    AUTOMECHANIKA, 2024

    80 sqm, Stand No. G22

    Concept Note

This exhibition stand was envisioned as a high-visibility space that mirrors the brand’s strength and reliability. The stand draws its identity from the company’s striking yellow palette, contrasted with black accents in furniture. The interiors were planned as an open layout with a lounge for discussions. Products are showcased in a glass display unit, allowing visitors to engage with the offerings without disrupting the circulation. Greenery was incorporated along the stand periphery to soften the industrial aesthetic and bring a sense of calm to the space.

    INDEX, 2024

    24 sqm, Stand No. 6B260

    Concept Note

Boasting a corner exhibition stand at INDEX, Ebco showcased its complete range of products from fittings to furniture and accessories. The entire wall surface area of the stand was used for displaying products and capitalising on the experiential factor. A TV unit was also installed to depict the brand message, manufacturing process, and work ethos – thereby building a relationship of trust with the visitors. A table and bar chair setup was planned in a corner alongside the reception desk to enable quick conversations. The overall exhibition stand design was inspired by clean, minimalistic geometry that helped achieve seamless circulation across the space.

    MECAM, 2024

    66 sqm, Stand No. M 105

    Concept Note

This stand was designed with a conversation-first approach. The exhibition stand has a free-flowing layout, enabling the visitors to seamlessly explore the surface finishes. The feature wall at the back was adorned with high-resolution graphics and images to communicate the brand’s expertise and offerings. Open seating zones promoted meaningful client interactions and created a space that felt welcoming.

    WTME 2024

    168 sqm, Stand No. B25

    Concept Note

The circular hanging banner with bold branding ensures high visibility from afar, immediately drawing attention in the exhibition hall. The curved reception counter with integrated greenery softens the space, making it approachable. The combination of wood and soft lighting conveys an upscale, refined look.

The well-lit shelving behind the counter highlights key offerings, while the digital and print visual elements reinforce brand storytelling.

    FAQs

How fast can we turnaround your project, and other common questions

Look at four things rather than the portfolio alone:

    1. Whether they can show UAE projects and name the clients.
    2. Who the venue-registered contractor on your stand will be.
    3. Whether one named project manager stays with you from brief to dismantling.
    4. Whether the quotation separates the stand build from space rental, venue services such as rigging, and freight.

Four to eight months before the show. That leaves room for concept design, iterations, venue approval and production. For Gulfood in March 2027, that window is open now.

Often, yes. Last-minute builds narrow the range of formats, usually towards modular solutions, but the standards stay the same. Send us your show date, venue, hall and plot size, and we will tell you what is realistic.

There is no single figure. Limits vary by organiser, venue, hall and where your stand sits in it, so confirm the number in your organiser’s manual before design starts.

Often, yes, but it needs planning. Venues generally require structural engineering drawings and approval before a second level can be built. We prepare structural specifications covering materials, dimensions and load to support that submission.

Stand designs are reviewed by the venue and organiser before build-up. We prepare the design drawings and structural specifications the submission relies on, and your project manager builds the organiser’s deadlines into the schedule.

Production and installation run through our long-standing partner suppliers, coordinated by your project manager, with on-site build support during installation

Costs depend on size, structure, materials and how much technology is built in. We provide a detailed quotation with your 3D design, with the stand build shown separately from space rental, venue services and freight.

Not automatically. Hall heights, rigging points and contractor registration differ between the venues, so a stand that has been reused should be checked against the new venue’s rules first.

    • Custom: Designed and built specifically for your brand, plot and objectives.
    • Modular: Uses adaptable components that can be reconfigured for different halls and plot sizes. It suits companies exhibiting several times a year.

Yes. Most of our projects are at European venues, particularly in Germany, so a Dubai show and a European show can run through one contractor with a consistent design.

    Send us:

    • the show, venue and hall
    • your plot dimensions and which sides are open
    • the height limit in your organiser’s manual
    • your budget range
    • what the stand needs to achieve

That is enough for a first concept
